Build a reusable prompt for your weekly planning

Write one planning prompt, save it somewhere handy, and reuse it every week to turn a messy to-do pile into a plan you can actually follow.

Why bother saving a prompt?

Most of us plan the week in our heads, usually on Monday morning, usually while already behind. Typing a fresh request into an AI tool every week doesn't help much either, because it's easy to forget the stuff that matters, like the dentist on Wednesday or the fact that Friday afternoons never go to plan.

A saved prompt fixes that. You give the same useful details every time, so the plan you get back has a better shot at being realistic. And you're never starting from a blank box.

How to do it

  1. Dump everything. Write down every task on your mind, big or small. Don't sort it yet.
  2. Add your fixed stuff. Meetings, appointments, school pickups. Anything with a set time.
  3. Be honest about your time. How many hours can you really focus each day? Guess low.
  4. Fill in the prompt. Drop your lists into the blanks below, then paste the whole thing into the AI chat tool you use.
  5. Edit the plan. You know your week better than any AI does. Move things, cut things, keep what works.

Prompt to try

Help me plan my week. Here is what I am working with.

My tasks (in no particular order):
[paste your list]

Things already on my calendar:
[meetings, appointments, pickups]

Time I actually have for focused work: [for example, about 2 hours a day]

Please:
1. Sort my tasks into must do, should do, and can wait.
2. Suggest a day for each must-do task, working around my calendar.
3. Flag anything too big for one sitting and suggest a small first step.
4. Keep it realistic. If it does not all fit, tell me what to drop or move.

Ask me up to 3 questions first if anything is unclear.

What a filled-in version might look like

Made-up example to show the format. This is what you would paste in.

My tasks (in no particular order):
- Finish the budget spreadsheet
- Book a car service
- Reply to the school about the field trip
- Clean out the garage
- Draft the team update

Things already on my calendar:
- Mon 10am team meeting
- Wed 3:30pm dentist
- Fri out after lunch

Time I actually have for focused work: about 2 hours a day

The kind of plan you might get back

Illustrative example written for this guide. It is not a real AI response. What you get will look different, so read it with the checks below in mind.

Must do
- Reply to the school: Monday, right after your 10am meeting. Ten minutes.
- Finish the budget spreadsheet: Tuesday, in your focus block.
- Draft the team update: Thursday, so there is time to fix it Friday morning.

Should do
- Book a car service: Wednesday, before the dentist. A quick call or online booking.

Can wait
- Clean out the garage: too big for one sitting. First small step: clear one shelf this weekend.

Heads up: Friday afternoon is out, so Thursday is your last full focus block of the week.

Save it for next week

Keep the prompt in a notes app or a doc you'll find again next Monday. Tweak it as you learn what works for you. If the plan keeps coming back too packed, try listing fewer focus hours.
